Terms and Conditions

Purchases and transactions with Threaded Journeys, LLC are governed by the Terms and Conditions listed here. By placing your order YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTAND AND ACCEPT THESE CONDITIONS.

1. Parties

The terms and conditions set forth in this agreement (“Terms”) constitute the entire understanding and agreement between you, the tour participant (“Participant” or “you”), and Threaded Journeys, LLC, a company based in McLean, Virginia, USA (“Threaded Journeys”, “we”, or “us”), with respect to any and all bookings, reservations, retreats, tours, or transactions made with Threaded Journeys (“Tour” or “Tours”). Threaded Journeys, LLC is also referred to in this agreement as “Threaded Journeys”, “we” or “us”.

By booking a Tour with us, paying a deposit or signing this agreement, you accept all of the terms in this agreement on your own behalf and on behalf of all persons listed on the booking (referred to collectively as “Travelers”), and direct us to perform services for each and every Traveler.

Once we confirm your booking, a contract for services is made between us and you upon the terms and conditions set out below. A booking is not confirmed, and there is no contract for services between us, unless the required deposit is paid, and you receive confirmation from us via email.

2. Tour Description

The Tour includes accommodation and services, which are specified to you in the Tour itinerary or as otherwise communicated by us in writing.

Additional items and costs, including but not limited to alcohol, menu supplements, room service, upgrades, and gratuities, are your direct financial responsibility. The Tour does not include flights, additional pre- or post- nights and accommodations, or transfers not outlined in the Tour itinerary or agreed to by us in writing.

Hotels, attractions and activities detailed in the itinerary may be altered subject to availability or changes in circumstances beyond our control.

3. Eligibility

Threaded Journeys’ Tours are available to all persons who are over the age of 18 and who meet the Mobility and Health Requirements described in Section 19 below, as well as any other requirements set forth in these Terms. Nothing in this paragraph prevents Threaded Journeys from denying or terminating services as set forth in these Terms.

4. Our Responsibilities

Threaded Journeys uses the service of agents, affiliates, local companies, owners, contractors and/or third-party suppliers (“Supplier” or “Suppliers”) for various services provided for or associated with your Tour, including but not limited to lodging, meals, transportation, sightseeing, and activities connected to your Tour. While we use our best efforts to select the Suppliers for these components of your Tour, you acknowledge that you are aware and clearly understand that these Suppliers are independent contractors, are not managed or controlled by us, and are not agents, partners, co-venturers or otherwise associated with Threaded Journeys.

We will not provide any refund for a Supplier’s delay, cancellation, overbooking, or strike. You acknowledge and agree that Threaded Journeys is not responsible for and cannot be held liable for any negligent or willful act or failure to act of any Supplier, or of any other person or entity.

Airlines, railways, car services, shipping companies, hotels, and other common carriers and suppliers have their own booking conditions or conditions of carriage, and you will be bound by these as far as the relevant provider or supplier is concerned. Some of these conditions may limit or exclude liability on the part of the relevant provider or other supplier, and they are often also subject to various international conventions. To the extent there is a conflict between these Terms and the Supplier’s terms and conditions as they relate to you and Threaded Journeys, these Terms shall prevail and supersede the Supplier’s terms and conditions.

5. Price of Tours and Fluctuations

Currency – All prices are stated in USD unless noted otherwise.

Unless noted otherwise, Tour prices are per person, based on two people sharing a room, with a single room supplement where applicable.

Tour prices quoted include our planning, handling, and operational charges (“Planning Fee”) in addition to supplier costs and fees, and, subject to these Terms, Tour Prices are based on foreign exchange rates at the time of printing. Tour components, e.g., any included lodging and meals, are listed in the Tour itinerary. This means that unless otherwise noted, Tour prices do not include international airfares and internal airfares; the cost of passports or visas; items of a personal nature such as beverages; laundry; phone calls; excess baggage; medical fees; gratuities; airport departure taxes; sightseeing; room service; alcohol; meals or menu supplements; or travel insurance.

Increases due to fuel costs, rates of exchange, tariff revisions, fees or surcharges, etc., may result in an adjustment to our published pricing. Though unlikely, we reserve the right to alter the price of any Tour and forward an amended invoice for you to cover these increases. When possible, we will notify you of any such price increase  at least 60 days prior to the first day of the Tour (“Tour Start Date”). 

Prices and availability are not guaranteed and may change without notice until your required deposit/payment has been received by Threaded Journeys and your booking has been confirmed by us in writing. If we do not receive your deposit/payment by any stated deadline or within a reasonable amount of time if no deadline is given, your reservation will be automatically cancelled.

We make efforts to ensure the accuracy of our brochures and other media at the time of going to print, but we cannot guarantee that all such information is correct. Threaded Journeys is not responsible for any errors or omissions in any quoted prices or advertisements, including information posted on our website, based on any reliance on incorrect information from third parties, nor are we responsible for printing and typographical errors, or any other reasonable errors. Further, we reserve the right to change such information before any Tour.

6. Reservations

The easiest way to make a reservation is online via our website. Early enrollment is always encouraged as group size is limited and some Tours require considerable preparation time. Once we have received your deposit and approved your booking, we will confirm your booking to you and provide a confirmation package containing your Tour itinerary, invoice, clothing and equipment recommendations, general information on your destination(s), and online forms for you to complete and submit to us. A final hotel list, final Tour itinerary, and instructions on how to join your Tour will be provided approximately 2-3 weeks prior to the Tour Start Date.

7. Payment Terms

An initial non-refundable deposit of our $500 Planning Fee per person is required to secure your booking, which is due at the time of booking. Please refer to the quote sent to you by us to confirm the deposit amount as some itineraries may require a larger deposit.

The remainder of the payment is due 60 days before the Tour Start Date. If a reservation is made within 60 days prior to the Tour Start Date, full payment is required immediately. Failure to pay the final balance on a timely basis will subject your booking to cancellation and such cancellation will be subject to our cancellation policy.

Acceptable payment methods are by Visa, Mastercard, American Express, and bank transfer. All payments received by bank transfer must be for the full amount required with your sender’s banking fees paid by you.

8. Credit/Debit Card Chargeback Policy

If you are not happy with our services for any reason, you agree not to file a chargeback with your credit or debit card before you have given us an opportunity to address the matter. Your satisfaction is very important to us and we strive to stand behind our products and services. We will work to address any issue that you might have. By agreeing to these Terms or booking a Tour with us, you agree that chargebacks are not an appropriate way to avoid our cancellation and refund policy.

9. Cancellation by You

Cancellation of your booking must be in writing or by email to us. Cancellations are only effective when we receive written notification of cancellation.

Tours already booked cannot be cancelled and rebooked where special discounts are made available.

Our cancellation and refund policy takes into account the fact that we must advance to our Suppliers deposits for their services, which are often non-refundable. If you cancel your booking, you will be subject to the following cancellation fees.

Cancellation Fees:

  • Cancellation 60 days or more prior to Tour Start Date – $500.00 nonrefundable deposit, which represents our Planning Fee for incurred services.
  • Cancellation 59-31 days prior to Tour Start Date – 50% of total money paid, which includes our $500 Planning Fee, is forfeit.
  • Cancellation within 30 days or less prior to Tour Start Date – 100% of total monies paid is forfeit.

Note: Cancellation charges will also apply to any additional services that you have requested pre- and post- Tour.

There are no exceptions to this cancellation and refund policy, including for reasons related to weather, terrorism, civil strife, airline default, strikes, personal, family or medical emergencies, your decision to not go on a Tour for any reason including but not limited to trepidation or governmental/travel warnings or advisories, including but not limited U.S. State Department or World Health Organization warnings, or any other circumstances beyond our control.

Under no circumstances can Threaded Journeys be held responsible for weather conditions or any of the other reasons listed above. If you cancel or amend your Tour booking at any time based on the above reasons, you will be subject to our cancellation and refund policy. We are not responsible for weather conditions that may affect the delivery and implementation of our itinerary.

10. Cancellation by Us

Threaded Journeys reserves the right, in our sole discretion, to cancel, alter, modify, postpone or reschedule any Tour without prior notice for the safety and/or comfort of clients and for circumstances of Force Majeure (see information on Force Majeure below). Threaded Journeys shall not be deemed to be in breach of these terms and conditions or otherwise be liable to you, by reason of delay in performance, or by non-performance, of any of our obligations hereunder as a result of any actions that we take or do not take under this section and under these Terms.

A. Cancellation due to Force Majeure

We may cancel departures due to Force Majeure. “Force Majeure” means any circumstances beyond our reasonable, such as acts of God, terrorist activities, insurrection, explosions, flood, tempest, forceful wind, fire or accident, war or threat of war declared or undeclared, sabotage, civil unrest, labor strikes, requisition, sickness, quarantine, sickness, quarantine, pandemic, epidemic, diseases and viruses outbreaks that are known, unknown or novel (e.g., Ebola, Zika, Covid-19, etc.), foodborne, airborne, and communicable illnesses and disease, government intervention of any kind that affect domestic and/or international travel, government restrictions or warnings, diplomatic or health organization (e.g., World Health Organization) warnings, border closings, weather conditions, catastrophic events including hurricanes, earthquakes, and volcanic eruptions, and unforeseen circumstances, commonly referred to as “force majeure.”

If cancellation occurs within the 60-day period due to such Force Majeure as described above, all funds paid by you for the Tour are non-refundable. We will not be able to pay you any compensation, costs, or expenses you incur as a result of such a cancellation or return any Tour payments that you have made. As such, we strongly recommend that all travelers purchase travel insurance, as most comprehensive trip cancellation and interruption policies include provisions that protect you from losses incurred for such perils (among others). We also highly recommend that you consider securing “cancel for any reason” travel insurance, which must be obtained soon after your first deposit is paid for your travels.

On rare occasions, we may be able to offer to postpone your Tour to another departure date of the same Tour within 12 months of the original, for which your full payment on the postponed Tour will remain non-refundable. However, such offers will be at our discretion and subject to availability.

B. Cancellation due to Insufficient Enrollment

If we cancel your Tour due to insufficient enrollment, we will endeavor to find an alternative Tour for you, but we cannot and do not guarantee that an alternative Tour will be available. If the alternative Tour has a greater cost than the cancelled Tour, you will be responsible for the difference in Tour costs. If this is not acceptable, your deposit/s will be refunded in full, which will constitute full settlement. We are not responsible for any expenses incurred as a result of such cancellation, including but not limited to visas, vaccinations, independently purchased airfare, or any other costs and expenses. Notice of cancellation due to insufficient enrollment in any program will be given no later than 60 days prior to the Tour Start Date.

11. Refunds

Any refund request must be made in writing and approved by us. Any refund may only be made to the bank account or credit card of the payer. The Participant seeking a refund is responsible for providing credit card or bank account details as required. We will not grant partial refunds for any unused Tour arrangements—voluntarily missed meals, sightseeing, transport, etc.—after the Tour has commenced, or any refunds to Participants who do not complete any portion of the itinerary for whatever reason. There is no refund for any unused services should you leave the Tour early for any reason, miss the Tour’s departure date, or have to be removed from the Tour at any time. If a flight or other delay for any reason prevents you from joining the Tour during any point of the Tour, it will be considered a “no show” and you will not receive any refund.

12. Discounts

Any discounts offered are per person by way of either a percentage or set amount and are discounted from the standard Tour price only. Additions such as pre-night packages and single supplements are not included. Discounts will only be applied to verified applicants, within the terms of offer and valid dates of same at the time of booking. Threaded Journeys reserves the right to withdraw discount offers at any time prior to booking.

13. Changes to Itinerary

We reserve the right to change our itineraries, amenities, accommodations, transportation, route, and schedule without prior notice, at any time and at our discretion. All itineraries should be considered “tentative.”

Though we take great care to ensure the accuracy of our itineraries and promotional literature, including general catalogues, day-by-day itineraries or other promotional material (“Material”), circumstances beyond our control may necessitate changes to Tour content and changes in Tour dates. In the case of Tour content change, you must refer to the Tour itinerary included with your final documents package as it may have been updated since you booked your Tour. In the case of a shift in Tour dates, we will notify you as early as possible of such changes so that necessary adjustments can be made.

Changing conditions in the field may also necessitate itinerary modifications after the Tour Start Date. Participants are responsible for any and all increased costs associated with such changes to the Tour start/end point, including but not limited to enroute itinerary changes or changes in means of conveyance, hotels, Tour Leaders, etc.

We reserve the right to operate our Tour with an altered itinerary, should a government advisory or restriction of entry be issued for the country/geographical area included in our original program, or in the event that conditions in the field or other logistical considerations, which may include mechanical breakdown, flight cancellations, illness, strikes, political disputes, weather, border crossing problems, disruption to transportation infrastructure, alterations to transportation schedules, quarantines/government travel restrictions, civil unrest, and other unforeseeable factors, render a specific location either impractical, impossible, or illegal. This may occur at late notice or while the Tour is in progress. You understand that if your Tour must be delayed for any reason, including but not limited to weather, road conditions, flight delays, cancellation of common carriers, sickness or other contingencies for which we cannot reasonably make provision, the cost of delay and/or replacement is not included in the Tour fees. All such payments must be paid locally. As such, we strongly recommend that you purchase travel insurance that covers you for any costs associated with itinerary adjustments, as Threaded Journeys will not provide refunds for any costs incurred due to changes to the itinerary, nor will we provide refunds for any part of the itinerary that was omitted from the Tour.

We are not responsible for any changes in schedule or other events resulting from any improper travel documentation or requirements, including health certificates or inoculations, or from Force Majeure (as described above in Section 9.A). We cannot guarantee that accommodations, ground transportation, airline, ferry, rail, cruise ship or similar service will be exactly as outlined in the Material.

Extreme care is taken in the contracting of all services; however, we cannot be responsible for the errors or omissions of the Suppliers or services. In the unlikely event that a Supplier fails to honor their contract with us, we reserve the right to alter, change or cancel such services outlined in our Material. When such a change occurs, we will endeavor to substitute comparable services; however, we cannot guarantee the same level of quality or enjoyment and we are not liable for any difference thereof. Tourism is still developing in many destinations, and thus facilities and services may be under construction and repair. We will endeavor to alter trip arrangements should we be forewarned of such occurrences. Threaded Journeys is not responsible or otherwise liable for the cleanliness of rest rooms, delays in immigration and customs, safety issues, or for any other circumstances, situations and conditions when traveling to such destinations.

14. Limitation of Remedies

You acknowledge and agree that the sole remedy for any default by Threaded Journeys arising under these Terms shall be limited to the total amount paid by the Participant to Threaded Journeys for the Tour. To the maximum extent permitted under applicable law, Threaded Journeys shall not be liable for any special, consequential, indirect, incidental or other damages arising out of these Terms, including lost profits, whether such damages arise in contract, negligence, tort, under statute, in equity, at law, or otherwise, even if Threaded Journeys has been advised of the possibility of such damages. You expressly waive any right you may have to recover such damages.

15. Your Responsibilities

It is your responsibility to check the accuracy of Tour dates you book.

It is your responsibility to ensure that we have correct email address details to ensure travel information is delivered on time. All documentation and other communications will be sent by email.

It is your responsibility to ensure that you have adequate travel insurance in the event of trip cancellation, personal accident, medical expenses, emergency evacuation, loss of monies, etc. We recommend “cancel for any reason” insurance, as detailed below in Section 16.

It is your responsibility to ensure that you have all necessary visas, passports, permits, certificates, vaccinations, immunizations, and any other entry and/or travel requirements for your selected itinerary (“Travel Requirements”). You assume sole responsibility for, and hereby release Threaded Journeys from any and all damages incurred as a result of your failure to comply with all applicable Travel Requirements. You are solely responsible for any adverse consequences, including additional costs and fees, resulting from incomplete or defective documentation. Passport and visa requirements may change at any point in time. It is your responsibility to acquire the most up to date travel documents and to comply with all applicable laws.

It is your responsibility to ensure your flights arrive at the airport on or before the Tour Start Date.

You must advise us in writing via email of any special requests. We do not guarantee that we will be able to accommodate your request. Whether we grant any requests is subject to availability and increased costs where applicable.

You must provide us with emergency contact details and inform us of any allergies, dietary requirements, etc., prior to the Tour Start Date.

When you book with us, you accept responsibility for any damage or loss caused by you. Full payment for any such damage or loss must be paid at the time directly to the accommodation owner or manager or other Supplier. If you fail to do so, you will be responsible for defending any claims (including legal costs) subsequently made against us because of such actions.

You are obliged to respect the right of residents living close to hotels or other accommodations you stay in during your Tour to live free from noise, vandalism, or any other source of annoyance or disturbance, especially at nighttime. Any Participant who contravenes this policy may be reported to the local authorities.

It is critical that you come to our Tour with a positive frame of mind, ready to enjoy your adventure with us. At all times, you must show courtesy and respect to your drivers, guides, Tour Leaders, and other Tour Participants, and the local community members. Failure to do so may result in you being asked to leave the Tour, as detailed below in Section 17.

16. Images Release

You agree that Threaded Journeys may use, re-use and reproduce any images, photos or videos that you send to us, or that are taken by our guides and/or other travelers of you individually or in a group, in any medium, including but not limited to print, electronic media, or Internet, free of charge and without your right to inspection, for promoting and publicizing our travel products and services worldwide. If you do not want us to use any images of you that are taken by us or other Participants during the Tour, you must inform us or your Tour leader in writing before the start of the Tour.

17. Travel Insurance

The Tour price does not include travel insurance. We are not responsible for any cancellation or curtailment of your journey, injuries, expenses or loss incurred by you. You will be charged directly by the relevant service provider for any emergency services you may require.

We strongly recommend that you take out comprehensive travel insurance, including medical coverage through a provider of your choice, covering medical, accident/life, evacuation, and repatriation for your vacation in the event of loss, damage, injury, personal accident, medical expenses, emergency evacuation and loss of monies occurring to you, as well as any dependents and traveling companions for the duration of your Tour. We also strongly recommend that you extend your coverage to include trip interruption and cancellation, curtailment, loss of belongings and all other expenses which might arise as a result of loss, damage, injury, delay or inconvenience. To protect your investment given that we cannot provide refunds in most instances, we also strongly urge you to consider a “cancel for any reason” travel insurance policy, which requires timely action as it must be purchased soon after your initial deposit. We do not take any responsibility for failure to secure adequate coverage. You are responsible for making yourself aware of your insurance policy’s coverages and exclusions, including any such exclusions that may apply to specific countries or regions that carry a government advisory.

18. Travelling

You must obey the laws of the country in which you are located whilst travelling on one of our Tours. We would ask you to show respect for the many diverse customs that exist in the country you are travelling in. If you do not do so, we may remove you from the Tour without any refund.

While on Tour, your appointed Tour Leader or Threaded Journeys representative may need to make decisions in the interests of safety. It is a condition of bookings that you comply with the authority and decisions of our appointed Tour Leader or representative. If you do not comply, or if your Tour Leader or our representative determines that your physical or mental condition renders you unfit for travel, or if in our reasonable opinion or in the opinion of any person in authority associated with your Tour feels that your behavior is causing harm, danger, or damage to property or person(s), embarrassment, harassment, or is persistently affecting the enjoyment of others, we reserve the right to refuse to allow you to continue the Tour or participate in any aspect of the Tour at any time. The appointed Tour Leader or our representative will decide on whether we remove you from the Tour or not, and our decision will be final. In such a case, we will not be liable for any refund, compensation or any additional costs incurred by you.

Neither Threaded Journeys nor our Suppliers assume any responsibility for the behavior, attitudes, or personalities of others on your Tour, nor if any facilities or services are curtailed as a result of their actions. Should you decide not to participate in certain parts of the Tour or use certain goods included in the Tour, no refunds will be made for those unused parts of the Tour.

It is your responsibility to ensure you meet your Tour at arranged points and times as per your Tour itinerary, your travel documents, or your Tour Leader’s or our representative’s directions. Because of the nature of the service, we are not liable for third party delays or cancellations. We will endeavor to ensure that departure and arrival times are met.

19. Mobility and Health Requirements

Tour Participants assume the responsibility to select a Tour most appropriate to their physical abilities. Unfortunately, at this time we are unable to accommodate wheelchairs/scooters on our scheduled Tours, as our coaches are not equipped with wheelchair ramps. Also, many of the locations and workshops visited will not be accessible to those with impaired mobility and a reasonable walking pace is required in order that the Tour is able to stay on schedule.

A certain amount of walking is inevitable on all Tours. You must be able to board the coach unassisted, and where Tours include ferry transportation, you must be able to board the ferry by gangway or pontoon and be able to walk unassisted at a reasonable pace from the coach to the hotel, and from the coach to visitor attractions. It is not always possible for the coach to park directly outside an attraction or activity. If you do not wish to visit a particular attraction, you will not be able to stay on the coach. You must be able to climb stairs of more than 25 steps and be able to walk more than 1 mile unaided at a reasonable pace. The terrain at some locations may be rough, uneven and unsuitable for someone with impaired mobility. Our drivers and guides cannot provide individualized help for walking, getting on and off motor coaches, ferries or other personal needs.

You are responsible for assessing whether a Tour is suitable for you. If in doubt, you should consult your physician to confirm your fitness for travel and participation in any planned activities. We do not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the Tour based on your unique circumstances, limitations, fitness level, and medical requirements.

If you require special attention or accommodations, you must advise us at the time of booking. We will make reasonable efforts to accommodate Tour Participants with specific needs but cannot guarantee we will be able to make such accommodations nor are we are responsible for the denial of services by any of our Suppliers.

In the event that a Tour Participant with mobility or health issues impacts or otherwise impairs the Tour itinerary, we will unfortunately have to remove the Participant from the Tour at their expense and will not be liable for any refund, compensation or any additional costs, regardless of the stage of the Tour.

20. Special Diets/Allergies

For safety reasons, it is very important that all dietary requirements, food allergies, textile allergies, etc. are communicated to our staff in advance of travel, so that we can do our best to help you avoid those items. Please note, however, that we cannot be held responsible if a hotel or other supplier neglects to exclude allergens once we have provided them with the information. In addition, it is your responsibility to confirm that items presented to you are suitable for you and to ask for alternatives if necessary. While we will do our best, we cannot guarantee all food or allergen requests can be accommodated. We are not liable for any failure to accommodate or fulfill such requests.

21. Luggage

You are allowed one “large” or “main” piece of luggage per person on our Tours. This is in addition to your “carry-on”. The large/main bag must not exceed 23kg (50 lbs) and be of a standard size, i.e., reasonable in its dimensions such that you are able to manage it unassisted on coaches, trains and/or aircraft, and when porters are not available. This baggage must also conform to the limitations set by the airline with which you are travelling (contact the airline if in doubt). Some Tours have stricter baggage restrictions, as outlined in your pre-trip information package or otherwise communicated by us in writing. Your Tour Leader will collect a fee if an additional piece of luggage is carried or if your bag exceeds the allowed weight. Porters may NOT be available at all hotels, airports, ferry terminals, etc., or may not be available at some destinations entirely.

Our drivers and guides cannot provide individualized help with luggage. We are not responsible or otherwise liable for lost/damaged/stolen/delayed luggage, or any other article or purchase while traveling.

22. Accommodation

Accommodation is provided as either twin (two beds) or double (one king, queen or standard double bed) or single (one single, queen or standard double bed). Single supplements may apply to sole occupancy of a room. We will request and confirm the room preference required on the booking. However, Threaded Journeys or our Suppliers may find it necessary to make last-minute changes to the accommodations due to local conditions which are beyond our/their control. We make no guarantee about the suitability or availability of accommodations and if particular accommodations sought are available on arrival. We will do our best to reserve comparable accommodations, if possible.

Bed size refers to standard bed sizes in South Africa. Unless otherwise specified in your itinerary, the room type will be standard. All rooms will either have a bath, shower or both, unless otherwise specified. Most Tours have a single-share program in which we match you with another single traveler of the same gender. On some Tours, a “forced single” will apply; please enquire at the time of booking for more details. We will do our best to inform you of this charge 60 days prior to the Tour Start Date; however, we reserve the right to charge this fee up to your Tour Start Date and, in rare cases, once you have departed. Upgrading to a single room once the Tour has begun is subject to availability at each overnight point, and payment must be made immediately to our office or locally to the Tour Leader. If you want to guarantee your own room, a single supplement applies. Payment of single supplement does not, however, guarantee that you will receive a twin size, twin-bedded room.

23. Transportation

It is your responsibility to provide us with your flight arrival time 3 weeks prior to commencement date of the Tour. This information will be used to plan and coordinate your airport pick-up and drop-off times. Transportation will be provided as specified in your Tour itinerary or as otherwise specified by us in writing.

All vehicles arranged as part of the Tour itinerary conform to South African standards and are fitted with seat belts. While most are air-conditioned, we do not guarantee such features. We ensure that you are provided with a coach that is suitable for the size of your group and that there is sufficient room for luggage, as specified in your Tour itinerary. Some coaches may have Wi-Fi internet connection available, which may be at an additional cost, but we cannot guarantee the availability of any such features. We do not guarantee any bathroom facilities on board, and any coach with such facilities usually has restrictions on use. There will be reasonable rest stops provided during your Tour.

Drivers are available to offer advice and assistance to you and members of your group within reason. They will do their best to help you to experience as much as is possible during your stay. Please note, however, that the hotel porterage service is for one main item of luggage to be ported from the hotel reception to your room. While in some instances the driver may, at their discretion, help with luggage being unloaded from the coach and into reception, this is goodwill and entirely subject to time constraints and numbers and is not to be expected as part of the service.

Drivers are restricted in the number of hours they can drive in a day and consecutive number of days they can drive. They also have a minimum number of hours’ rest required between driving stints. Your itinerary has taken this into account, including relief drivers where necessary. Consequently, any permitted changes to previously agreed activities, hours of travel and locations may result in additional costs to you and a relief driver where necessary.

24. Illness

If you find you are feeling unwell during your Tour, we will make reasonable efforts to assist you in terms of additional accommodation, transport and medical assistance where needed. You are responsible for any additional costs incurred as a result, so we strongly advise you to take out adequate travel insurance for the duration of your trip.

With regards to COVID-19, you are responsible for following national health guidelines in South Africa at the time of your Tour. Any classes, activities or accommodation missed are not refundable, so we reiterate the importance of making sure you have adequate travel insurance in place before you begin your Tour.

25. Complaints

Any complaint you have while on Tour must be brought to the Tour Leader’s attention immediately, who will attempt to resolve the situation. Failure to do so while you are on the Tour will eliminate or reduce your ability to claim compensation from Threaded Journeys.

If the matter cannot be resolved during your Tour after the Tour Leader’s best endeavors to do so, your complaint should be made in writing to us as soon as is reasonably possible within 30 days after the Tour, so that your complaint can be investigated. We will not consider any complaints after the 30-day period. You will be assured of respect and courtesy while your complaint is being dealt with. If you attempt to address the problem on your own without using this complaint procedure, you assume responsibility for any additional costs you may incur and forfeit any potential refunds.

26. Customer Service and Client Feedback

We will provide you with a customer survey at the end of the Tour. We encourage completion of this questionnaire in order to investigate potential deficiencies and inaccuracies, as well as positive feedback regarding our service, the Tour, and Tour Leader. This feedback helps us make our trips better.

27. General

The booking conditions detailed herein contain the entire agreement between the parties and supersedes all previous negotiations and agreements. No representation, term, warranty or condition can be expressed or implied by reference to any other writing, advertisement or conversation. These Terms may only be varied by us in writing and any changes to these Terms must be agreed to by us in writing.

If any provision of these Terms shall be unenforceable or invalid under any applicable law, such unenforceability or invalidity shall not render the Terms unenforceable or invalid as a whole. Such un enforceable provision will be replaced with one that is valid and enforceable, and which achieves, to the extent possible, the original objectives and intent of the original provision.

This agreement shall inure to the benefit of and be binding upon Threaded Journeys, LLC, and you and your respective heirs, legal and personal representatives, successors and assigns.

28. Updating of Terms and Conditions

We may on occasion amend these Terms and reserve the right to update or alter these Terms at any time without notice. Your continued use of our services or participation on one of our Tours will constitute your acceptance of the changes. We recommend that you refer to these Terms prior to travel to familiarize yourself with the most up-to-date version available.

29. Binding Arbitration

You agree that any dispute concerning, relating to, or referencing these Terms, or any other literature concerning your Tour or the Tour itself shall be resolved exclusively by binding arbitration according to the then existing commercial rules of the American Arbitration Association in McLean, Virginia, USA. Such proceedings shall be governed by substantive Virginia law in the US. The arbitrator and not any federal, state, or local court or agency shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, conscionability, or formation of this contract, including but not limited to any claim that all or part of this contract is void or voidable.

30. Traveler’s Representations

You understand that acceptance of the reservation confirmation covering this Tour and deposit payment thereof constitutes acceptance by you of these Terms and Conditions and of any other conditions applicable to the Tour. YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTAND AND ACCEPT THOSE CONDITIONS.

You have read this entire agreement and fully understand that this is a legally binding contract. No other representations concerning the legal effect of this document have been made to you. You confirm that you have had an opportunity to have all of your questions about this agreement answered by Threaded Journeys, LLC.
